Runnymede Lawyers (ABN 34 167 552 490) is committed to protecting your privacy. This policy explains how we collect, use, disclose and protect personal information, and how you can access or correct it or make a complaint.

We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth). As your solicitors we also owe you separate and continuing duties of confidentiality, and your communications with us may be protected by legal professional privilege.

The information we collect

We collect personal information that is reasonably necessary for our legal practice. Depending on your matter, this may include your name, contact details, date of birth and occupation; identity documents such as a passport, driver licence or Medicare card; financial information including bank details, assets, liabilities and tax file numbers; information about your family, relationships and health where relevant to estate planning or a dispute; details of your business, shareholdings, trusts and company structures; and information about other parties to your matter.

How we collect it

We usually collect personal information directly from you, in meetings, by telephone, by email, or through forms on this website. We may also collect it from third parties such as accountants, financial advisers, other law firms, government registries, land titles offices, ASIC, and searches of public records.

Why we collect it

We collect, hold and use personal information to provide legal advice and services to you; to verify your identity and meet our obligations under anti-money laundering and counter-terrorism financing laws; to carry out conflict of interest checks; to administer our engagement, including billing and trust accounting; to comply with our professional, regulatory and legal obligations; and to respond to your enquiries and, where you have asked us to, send you legal updates.

Who we disclose it to

We may disclose personal information to other parties and their lawyers in your matter where necessary; to barristers, experts, agents and other service providers we engage on your behalf; to courts, tribunals and government agencies; to our insurers, auditors and professional advisers; to regulators where required; and to our IT, document management and practice management providers. We do not sell personal information, and we do not disclose it to third parties for their direct marketing.

Overseas disclosure

Some of our technology providers store data on servers outside Australia, including in the United States and the European Union. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

Security and retention

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. We retain client files for at least seven years after a matter is completed, consistent with our professional obligations, and securely destroy or de-identify information when it is no longer needed.

This website and cookies

This website is hosted by Squarespace. We use Google Analytics, a service provided by Google, to understand how visitors find and use this site; Google may process that information on servers outside Australia. When you visit, technical information such as your IP address, browser type and the pages you view may be collected. This website uses cookies. You can set your browser to refuse cookies, although some parts of the site may not then work as intended. If you submit an enquiry form, we collect the details you provide in order to respond to you.

Access and correction

You may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Please contact us using the details below and we will respond within a reasonable time. In some circumstances we may decline access, for example where the information is subject to legal professional privilege or where giving access would unreasonably affect another person’s privacy. If we decline, we will tell you why.

Complaints

If you believe we have breached the Australian Privacy Principles, please contact us first so that we can investigate. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
